Keep control of the decision.

Before relying on a system, agree who can change it, how it is operated and what happens when the work ends.

Questions to settle for the job

Who approves changes?
Name the allowed actions and the decisions that still need your approval. Account access alone is not permission to change records or send messages.
Who controls access?
Identify the hosting and business accounts, their administrators and the access needed for the work. Agree how that access is granted and revoked.
What is handed over?
Agree the code, configuration, records and operating notes needed for the job. Confirm rights and licences rather than assuming every component can be owned or transferred.
What needs maintenance?
Name the continuing responsibilities and costs, including third-party services. Decide who carries them after the work ends. Ongoing support is a separate scope.
What happens if I’m unavailable?
I work independently. Any need for cover, recovery or another operator must be agreed for the job. Do not assume continuous availability or standby support.

Data and stopping

Different actions.
Different consequences.

Stopping a service, revoking access and deleting data are not the same operation. Stopping does not undo a message already sent or a change already made elsewhere.

Before project work involving business data, agree the hosting arrangement, access, storage and deletion responsibilities. Logs and backups may have different retention periods; no instant or universal deletion is promised.

Initial WhatsApp and email messages, existing business platforms and any project AI processing have different data paths. The arrangement for one does not automatically cover the others.

Match the safeguards to the reliance.

A written analysis and an operational system do not need the same handover. For business-critical work, the recovery and cover requirements need to be established before relying on one person.

Use the scope discussion to decide what can reasonably be supported, what needs further evidence and whether the job should be narrower.
